Email Template System Abstract: The goal of this project is to develop an email automation system customized for managing student inquiries about Extenuating Circumstances. Existing email platforms like Gmail and Outlook often lack advanced features required for automating repetitive tasks in emails, such as dynamic placeholders and looping constructs. These limitations can result in tedious and error-prone email management processes. The primary objective is to tackle these issues by simplifying email composition through customizable templates with dynamic placeholders, reducing manual errors. The involvement of loop constructs within the email templates will simplify the process of addressing multiple coursework components, which will enhance the user experience and efficiency. Additionally, the system will enable users to save draft emails and allow them to review them before sending will ensure clarity and accuracy. In terms of methodology, the project employs an integrated approach using various technologies and techniques. It utilizes Java for backend logic, HTML/CSS for frontend interface design, and MySQL for database management. Through the frontend interface, students can input the information asked by the system like student ID, Name, etc which are then processed by Java to populate predefined email templates. MySQL facilitates the storage and retrieval of email templates and user data. In conclusion, the successful implementation of this project will demonstrate the effectiveness of an automated email generation system while handling multiple extenuating circumstances requests. The system’s user-friendly design will simplify the process of composing emails, leading to increased efficiency and better time management for staff, ultimately improving effective communication between students and staff.
